Quote to cash
Quote to cash is the path from first quote through customer approval, production, invoicing, and payment — in one order instead of email threads and spreadsheets.
Overview
Every job starts as an order (usually in a Quote status). Line items, artwork, client details, files, tasks, and deadlines stay attached as it moves forward. You are not copying data between tools at each step.
Typical flow
- Create a quote — Client, dates, then garments and decoration on the Invoice tab. See Orders.
- Price it — Catalog markup, discounts, tax or tax-exempt. Optional: check Estimation or Quick Quote before you send.
- Send for approval — Customer reviews and approves online. See Clients & approvals.
- Get paid — Record payments, send reminders, or collect online with QuickBooks or Stripe. Cash/Venmo shops record payments on the Invoice tab. See Invoices & payments.
- Buy blanks — Purchase orders from S&S or SanMar lines.
- Produce — Statuses, schedule, tasks, artwork.
- Complete — Pickup or delivery email, optional feedback.
Fundraisers stay on the same order via Customer online stores: buyers submit sizes (and optionally pay), then you Sync submissions to invoice and produce.
